Summary:

My client, operating in the financial services sector, is in search of an Chief of Staff and Team Assistant. Responsibilities:

  • Facilitate a substantial number of internal and external meetings.
  • Cultivate relationships with broker sales teams and Investor Relations to optimize the planning of meetings and calls.
  • Organize calendars by screening for conflicts and ensuring seamless team coordination for meetings.
  • Record corporate access and broker interactions systematically in the database.
  • Manage travel arrangements, covering flights, hotels, and ground transportation for the team.
  • Streamline the process of handling expense reports for the team.
  • Foster a foundational understanding of the covered sector.
  • Engage actively in weekly team meetings.
  • Support the management of the Research Assistants team by providing training, addressing questions, offering mentorship, and conducting performance reviews.

 

Qualifications and Competencies:

  • A Bachelor’s degree is a prerequisite.
  • A minimum of 7 years of administrative assistant experience in financial services, including 2 years in a management capacity.
  • Proficient in Microsoft Office.
  • Strong time management skills, demonstrating the ability to effectively juggle multiple tasks with competing priorities.
  • Outstanding organizational skills and meticulous attention to detail.
  • Demonstrates a sense of ownership and accountability for one’s work.
  • Proactively follows up on details, foresees potential issues, and ensures the completion of all requests.
  • Exhibits discretion in handling confidential information while collaborating across various teams and functions.
  • Displays mature and robust interpersonal skills, maintaining professional interactions with peers and senior-level management.
  • Team-oriented mindset with the capability to work independently.
  • Proficient problem-solving skills, coupled with flexibility; may serve as a resource to other administrative staff.
  • Excellent grammar, written, and verbal communication skills.

In accordance with New York City’s Pay Transparency Law, the expected salary range for this role is $150,000 to $200,000.
