Job Title: Legal Administrative Assistant- Patent Prosecution

Position Summary: The Legal Administrative Assistant is responsible for providing administrative support to a team of legal professionals and paralegals in the patent prosecution area. This role involves assisting with all phases of the patent prosecution process, including document preparation and filing patent applications with the USPTO. Strong communication, writing, and organizational skills, along with attention to detail, are crucial for success in this position.

Specific Job Duties:

  • Perform administrative tasks for attorneys and the prosecution team, demonstrating knowledge of patent prosecution practices with minimal supervision.
  • Assist in filing patent utility, design, and national phase applications electronically and on paper in the USPTO and foreign patent offices.
  • Create and maintain physical and electronic files, draft reporting letters, and manage attorney dockets.
  • Coordinate attorney calendars, schedule meetings, and make travel arrangements.
  • Assist in time entry using firm software and adhere to client-specific instructions.
  • Integrate new patent files into existing systems and maintain e-filing with the USPTO.
  • Review attorney dockets, monitor deadlines, and take necessary actions for each file.
  • Draft correspondences to clients regarding the status of US and foreign applications and patents.
  • Edit complex documents accurately and efficiently using Microsoft Word.
  • Provide general assistance to the patent prosecution team and projects when needed.
  • Perform organizational tasks, including managing electronic files and following precise procedures.
  • Manage attorney workflow through Timekeeper Work Queues and maintain client-specific electronic portals.

Knowledge, Skills, and Abilities:

  • Minimum of 5 years of experience in IP Patent Prosecution.
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong attention to detail, accuracy, and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a team environment and adapt to changing priorities.
  • Professional demeanor, sound judgment, and ability to maintain confidentiality.
  • Problem-solving skills, initiative, and accountability.
  • Flexibility to adjust hours as necessary to meet job responsibilities.
