About our client:
Our client is a New York-based registered investment advisor (hedge fund), founded in 2012. The firm fosters a collaborative, high-performing environment where detail-oriented professionals thrive.

About the Role
We are seeking a polished, proactive, and detail-oriented Executive Assistant to support a growing team. This is a hybrid role that blends investor relations coordination with high-level administrative responsibilities, not a traditional personal assistant position. The role offers a unique opportunity to contribute across a wide range of operational functions, including calendar management, onboarding, office operations, and light HR.

Key Responsibilities

  • Manage complex calendars, coordinate meetings, triage email, and oversee external communication
  • Maintain and update shared departmental calendars to ensure alignment and visibility
  • Run biweekly payroll, onboard new hires, and manage issuance of company credit cards and credentials
  • Serve as a liaison to vendors and oversee office maintenance; provide day-to-day oversight and support to the receptionist
  • Provide general office support as needed
  • Support investor relations with scheduling, tracking requests, and ensuring timely, professional communication
  • Assist with ad hoc projects across HR, operations, and office administration
  • Uphold confidentiality and demonstrate professionalism in all communications

Ideal Candidate Profile

  • 2–6 years of relevant administrative or operational experience (prior C-suite support a plus, but not required)
  • Highly organized and detail-driven, with excellent written and verbal communication skills
  • Tech-savvy, with the ability to quickly learn and adapt to new tools and systems
  • Proactive, polished, and professional, with sound judgment and discretion
  • Strong multitasking abilities; thrives in a fast-paced, dynamic environment
  • Comfortable with occasional early calls or schedule shifts based on team needs
  • Eager to grow within a collaborative, long-term team environment
